Privacy Policy

This Privacy Policy ("Policy") describes how PestMetry ("PestMetry," "we," "us," or "our") collects, uses, discloses, and safeguards information in connection with the PestMetry software-as-a-service platform, our website, and related applications and services (collectively, the "Services"). The Services are designed for warehouse pest management, sanitation, and facility intelligence, and are intended for use by businesses and their authorized personnel.

By accessing or using the Services, you acknowledge that you have read and understood this Policy. If you do not agree with this Policy, you must not access or use the Services.

1. Scope and roles

The Services are business-to-business tools used by organizations ("Customers") to manage facilities, work orders, pest incidents, sanitation activities, inspections, and related operational data. When a Customer uses the Services, the Customer acts as the controller (or equivalent) of the personal data it submits, and PestMetry acts as the processor or service provider on the Customer's behalf. This Policy applies to information PestMetry collects directly, and describes how we handle Customer data under our agreement with each Customer.

2. Information we collect

We collect the following categories of information:

  • Account information. Name, work email address, password (stored in hashed form by our authentication provider), organization name, role, and profile preferences submitted during registration and setup.
  • Operational and facility data. Information Customers input into the Services, including facilities, blueprints, mapped locations, pick slots, pest devices, work orders, pest incidents, sanitation activities, inspections, photos or evidence attached to incidents, comments, and related metadata.
  • Usage data. Log data such as IP address, browser type, device identifiers, pages viewed, actions taken within the Services, timestamps, and error diagnostics.
  • Cookies and similar technologies. Session cookies and local storage used to authenticate users, remember preferences, and maintain application state. See Section 8.
  • Communications. Messages you send us through support channels, forms, or email, and notifications we send you through the Services or by email.
  • Payment information. When you subscribe to a paid plan, billing details are collected and processed by our third-party payment processor. We do not store full payment card numbers on our systems.

The Services are not directed to individuals under the age of 16, and we do not knowingly collect information from children.

3. How we use information

We use the information described above to:

  • Provide, operate, maintain, and improve the Services.
  • Authenticate users, enforce role-based access, and secure Customer accounts.
  • Deliver core platform functionality, including facility mapping, work orders, pest incident tracking, sanitation records, reporting, and notifications.
  • Communicate with you about accounts, security, updates, and support requests.
  • Monitor and analyze usage and performance to detect and prevent errors, fraud, abuse, and unauthorized activity.
  • Comply with legal obligations and enforce our agreements, including our Terms of Service.

PestMetry does not sell personal information, and does not use Customer operational data to train third-party generative AI models.

4. Legal bases for processing (EEA/UK users)

Where the GDPR or UK GDPR applies, we process personal data on the following legal bases: (a) performance of a contract with you or your organization; (b) our legitimate interests in operating, securing, and improving the Services, provided those interests are not overridden by your rights; (c) compliance with legal obligations; and (d) your consent, where required (for example, certain cookies or marketing communications), which you may withdraw at any time.

5. How we share information

We share information only as described below:

  • Within your organization. Operational data submitted to a Customer workspace is accessible to other authorized users of that Customer based on role and permission settings configured by the Customer.
  • Service providers (subprocessors). We use vetted third parties to host infrastructure, provide authentication, deliver email, process payments, and support product analytics. These providers are contractually bound to protect information and use it only to provide services to us.
  • Legal and safety. We may disclose information if required by law, regulation, subpoena, or valid legal process, or where we reasonably believe disclosure is necessary to protect the rights, property, or safety of PestMetry, our Customers, or others.
  • Business transfers. If PestMetry is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to standard confidentiality obligations.

6. Data security

We implement administrative and technical safeguards designed to protect information against unauthorized access, disclosure, alteration, and destruction. These include serving all application and API traffic over HTTPS/TLS, role-based access controls, row-level security in our database that scopes records to your organization, least-privilege service credentials, and periodic review of administrative access. Databases, storage, and backups are operated by the managed hosting providers listed on our Subprocessors page, subject to their own published security controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Data retention

We retain Customer operational data for as long as the Customer maintains an active account, and for a limited period afterward as needed to comply with legal obligations, resolve disputes, and enforce our agreements. Customers may request export or deletion of their workspace data in accordance with their agreement with PestMetry. Certain records, such as billing and audit logs, may be retained for longer periods where required by law.

8. Cookies and similar technologies

We use strictly necessary cookies and local storage to keep users signed in, maintain session state, and remember application preferences. We may also use limited analytics tools to understand how the Services are used and to improve them. You can control cookies through your browser settings; disabling strictly necessary cookies will impair the functionality of the Services.

9. International data transfers

PestMetry is operated from the United States, and information we process may be transferred to and stored in the United States or other jurisdictions where we or our service providers operate. Where required, we rely on appropriate transfer mechanisms, such as the European Commission's Standard Contractual Clauses, to protect personal data transferred across borders.

10. Your rights and choices

Depending on your location, you may have rights with respect to your personal data, including the right to access, correct, delete, restrict or object to processing, and data portability. Residents of certain U.S. states may also have the right to opt out of the "sale" or "sharing" of personal information, and to limit the use of sensitive personal information; PestMetry does not sell or share personal information as those terms are defined under applicable U.S. state privacy laws.

If you are an end user of a Customer's workspace, you should generally direct privacy requests to that Customer, who controls the data. If you contact us directly, we will forward your request to the applicable Customer and assist as required by law and our agreement with the Customer. You may also contact us using the details in Section 12.

11. Changes to this Policy

We may update this Policy from time to time. When we make material changes, we will update the "Effective date" above and, where appropriate, provide additional notice through the Services or by email. Your continued use of the Services after an updated Policy becomes effective constitutes your acceptance of the updated Policy.
